Privacy Policy

Last updated: 21 October 2026

This policy explains what personal information Tycoon Tours Scotland collects when you visit our website, or enquire about, book or take a tour with us — and how we use it, share it and keep it safe.

1.Who we are

Tycoon Tours Scotland runs private, chauffeur-driven guided tours from Edinburgh. We are the controller of the personal information described in this policy, which means we decide how it is used and are responsible for looking after it.

Tycoon Tours Scotland
3F1 Third Floor, 3 Hill Street, New Town, Edinburgh EH2 3JP, Scotland, United Kingdom
Email: info@tycoontours.co.uk · Phone: +44 7398 181234

This policy covers our website, tycoontours.co.uk, and the information you give us when you enquire about, book or take a tour with us.

2.The information we collect

When you enquire or book

Our enquiry and booking forms ask for your name, email address and phone number, the tour you are interested in, your preferred date, the number of guests, your pickup location and any message you choose to add. You give us the same kind of details when you contact us by phone, email, WhatsApp or social media.

To plan and run your tour

As we prepare your trip, we may be given further details: the names of the people travelling, hotel or pickup addresses, flight or train times, children’s ages so we can fit the right child seats, and your preferences for the day.

Health, mobility and dietary information

If you tell us about a mobility need, a medical condition, an allergy or a dietary requirement, we use it only to plan a safe and comfortable day. This is special category information, so we hold it only with your explicit consent — see section 4.

When you book through another company

If you book through a platform such as Viator, GetYourGuide or Tripadvisor, that company collects your details under its own privacy policy and passes us what we need to run your tour — usually your name, contact details, pickup point and party size.

When you visit our website

Like any website, ours receives technical information such as your IP address, browser and device type, and the pages you request. Where you allow analytics cookies, we also collect information about how you use the site — see section 7.

We do not take card payments through this website, and our forms never ask for card details.

3.How we use your information

UK data protection law requires a lawful basis for each way we use your information. Ours are:

  • Replying to your enquiry and preparing a quote — steps you have asked us to take before entering into a contract.
  • Confirming, planning and delivering your tour, including booking any tickets or accommodation you ask us to arrange — performance of our contract with you.
  • Contacting you about your booking before, during and after your tour — performance of our contract.
  • Keeping financial and tax records — legal obligation.
  • Asking for feedback or a review after your tour, improving our service and keeping our website secure — our legitimate interests in running and improving the business. Tell us at any time if you would rather not hear from us.
  • Understanding how visitors use our website through analytics cookies — your consent, which you can withdraw at any time.
  • Sending you news or offers — only if you have agreed to receive them. Every message tells you how to stop.

We do not sell your information, and we do not make decisions about you by automated means.

4.Health and accessibility information

Information about your health, mobility or allergies is given voluntarily. We rely on your explicit consent to use it, and only to plan and safely run your tour — for example choosing a suitable vehicle, planning step-free routes, or telling a restaurant about an allergy when you ask us to.

We share it only with your driver-guide and, where you ask, with a venue that needs it. You can withdraw your consent at any time by telling us, although that may limit how well we can adapt the day for you. We delete it within 30 days of your tour, unless we need it to deal with an incident or claim.

5.Who we share it with

We share your information only where we need to, and only as much as is needed:

  • Your driver-guide, who needs your name, pickup details and any requirements for the day.
  • Hotels, attractions, distilleries and ferry operators we book on your behalf, which receive the details needed for that booking. Their own privacy policies then apply.
  • Service providers who run our systems, including our website host (Hostinger), our email provider, Google (Google Analytics) and Microsoft (Microsoft Clarity). They handle your information to provide their services to us, under their own data protection terms.
  • Trustindex, which displays our Google reviews on this website. To show the reviews, your browser connects to Trustindex’s servers, which receive your IP address.
  • Meta (WhatsApp, Facebook and Instagram) and TikTok, if you choose to message us through those services. Their privacy policies govern those conversations.
  • Our accountant, insurers and professional advisers, and HMRC, where needed to run the business lawfully — and the police or other authorities where the law requires it.

6.Transfers outside the UK

Some of our service providers, including Google, Microsoft and Meta, may process information outside the United Kingdom, including in the United States. Where that happens, we rely on the safeguards UK law requires — such as UK adequacy regulations (including the UK Extension to the EU–US Data Privacy Framework), or the International Data Transfer Agreement or Addendum approved by the ICO.

7.Cookies and analytics

Our website uses a small number of cookies it needs in order to work. With your agreement through our cookie banner, it also uses analytics cookies from:

  • Google Analytics, which tells us how many people visit, which pages they view and how they found us.
  • Microsoft Clarity, which records how visitors move through our pages — clicks, scrolling and mouse movement — so we can find parts of the site that are confusing or broken.

You can change your choice at any time through the “Manage consent” option on our website. Full details of every cookie we use are in our Cookie Policy.

8.How long we keep it

  • Enquiries that do not lead to a booking: 12 months from our last contact, so we can pick up the conversation if you come back to us.
  • Booking records and invoices: six years after your tour, as required for tax and accounting.
  • Health, mobility and allergy information: deleted within 30 days of your tour, unless needed for an incident or claim.
  • Analytics data: up to 14 months in Google Analytics and up to 13 months in Microsoft Clarity.

After these periods we delete your information, or anonymise it so it can no longer identify you.

9.How we keep it safe

Our website uses an encrypted (HTTPS) connection, access to our systems is limited to the people who need it, and our accounts are password-protected. No system is completely secure, but we take reasonable steps to protect your information. If a breach does happen, we will report it as the law requires.

10.Your rights

Under UK data protection law you have the right to:

  • Access the personal information we hold about you and receive a copy
  • Correct anything that is inaccurate or incomplete
  • Ask us to delete your information
  • Restrict how we use it, or object to our using it on the basis of legitimate interests
  • Receive the information you gave us in a portable format
  • Withdraw your consent at any time, where we rely on it

Some rights have limits — for example, we must keep booking records for tax purposes. To use any of these rights, email info@tycoontours.co.uk. It is free, and we will respond within one month.

11.Children

Families are very welcome on our tours, but our website and booking forms are intended for adults. Information about children, such as ages for child seats, should come from a parent or guardian as part of their booking.

12.Other websites

Our website links to other sites, including our social media pages and booking platforms such as Tripadvisor, Viator and GetYourGuide. We are not responsible for how those sites handle your information, so please read their privacy policies.

13.Changes to this policy

We may update this policy as our business or the law changes. The date at the top of this page shows when it was last revised.

14.Complaints

If you are unhappy with how we have handled your information, please contact us first at info@tycoontours.co.uk so we can try to put it right.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Questions about your data?

To find out what we hold about you, correct it or have it deleted, just email us — we will reply within one month, usually much sooner.
